Retire the Clipboard on the Machine

Maintenance logs are still, remarkably often, a laminated sheet hanging on the machine. It gets filled in with a pen that has run out, goes missing during a refit, and cannot answer a question like "when did we last replace that part on any of these units".

A QR code on the equipment turns the log into a form. The technician scans, records what they did, and the history is searchable, dated, and impossible to leave on the floor of the workshop.

Why It Works

Logged while standing there

The entry happens at the machine, not from memory two hours later when the details have blurred.

History that answers questions

Search across machines and dates instead of leafing through binders for the last service.

Compliance without archaeology

An auditor asking for twelve months of servicing gets an export, not a week of searching.

Nothing new to learn

It opens a form in the phone's browser. No app, no account for the technician, no training session.

How to Set It Up

  1. 1

Create one form per machine, or one form that takes the machine ID from the link, so the technician does not have to type it.

  2. 2

Keep it short: date, who, what was done, parts used, next due. A long form is a form that gets skipped.

  3. 3

Generate codes in bulk from a CSV of your equipment list and print them on durable labels.

  4. 4

Mount the label where the work happens and where a phone can reach it — not behind a panel that has to be opened first.

Frequently Asked Questions

What do I use for the form?

Whatever you already have: Google Forms, Microsoft Forms, a page in your CMMS. The QR code just opens it. Starting with a spreadsheet-backed form is a perfectly good way to find out what you actually need before buying a system.

Will the codes survive a workshop?

Only if you print them properly. Laminated or polyester labels handle oil, solvents and wiping; plain paper does not. For very harsh environments, engraved metal tags with the code etched in are worth the cost.

Can I tell how often each machine is serviced?

Your form data gives you the real answer. The scan counts on each code are a useful cross-check: a machine whose code is never scanned is usually a machine nobody is logging.
